Position Summary:

Franklin University, a private, independent, accredited, not-for-profit University located in Columbus, Ohio invites applicants for its Manager, Admissions Systems and Operations position. Manager, Admissions Systems and Operations is responsible for overseeing all operations related priorities for the admissions department, including technical oversight and support for the recruitment use of our Slate CRM system. Primary responsibilities for the role include maximizing the admissions team’s efficiency and effectiveness leveraging AI and automation by ongoing business process analysis, consulting on design and implementation, systems and tool optimization, ensuring data flow and integrity, reviewing business procedures and practices, and serving as the liaison with IT in building team operational efficiencies by translating needs into workable solutions. This position has one direct report and serves as co-chair of the university’s Slate Governance Committee as well as serving as a liaison between Marketing, CRM Business Administration, Student Affairs, Education Alliances, Information Technology and other University functions as necessary.

This role will work an onsite hybrid schedule.

Duties and Responsibilities:

· Oversight of all things Slate related to the admissions team, including application processing, identifying needs and building out solutions, integrating other systems’ data into Slate and fielding daily questions from the team regarding Slate issues

· Serve as a Slate Captain and co-chair of the Slate Governance Committee and as a voice for all teams utilizing the Slate CRM tool, including supporting the roll out of Slate to departments that need to utilize it and helping with updates and improvements for all departments within Slate currently

· Represent Admissions in planning, implementation and coordination of technical functions related to Colleague, business intelligence and university proposals related to technology processes

· Oversee, manage and support the recruitment/admission database system; research, understand and leverage existing functionality and future enhancements to ensure maximum effectiveness and utilization

· Collaborate with other administrative and academic offices, committees, and individuals in the implementation and oversight of procedures and practices as they relate to applicant and prospective student data

· Collaborate with the Executive Director on short and long term strategic planning, resource allocation and initiatives to meet the enrollment management goals each year

· Lead continuous evaluation of system tools and develop strategies to leverage systems to meet business operation needs; monitor systems integrity, quality control, and interfaces between systems

· Work with IT to Implement new initiatives related to operations and technology; develop and maintain appropriate quality control for accurate delivery of business operations including consistent protocols and processes

· Collaborate with marketing to create and launch all communication campaigns as needed

· Work with the admissions team to create, launch, and update, as needed, all admissions PSO communications and admissions team snippets

· Supervision of the Admissions Systems and Operations Specialist – working collaboratively to develop solutions for operational inefficiencies

· Identify and coordinate training at the individual and team level to ensure operational effectiveness

· Participate with Admissions team in the implementation of strategic recruitment plans, creation of policies and goals, and assessment of outcomes

· Other duties as assigned

Minimum Requirements:

  • Bachelor’s Degree plus 3 years of experience managing systems/CRM.
  • Demonstrated experience working with Technolutions and Slate in a college office of admissions.
  • Experience and knowledge in campaign and HTML development, outreach workflows, event invitations, workspaces, metrics for student-staff interaction, and communication development.
  • Understanding of Student Information systems and the integration with CRM Systems
  • Strong interpersonal, organization, prioritization and communication skills.
  • Results-oriented, goal driven, and collaborative team orientation.
  • Clear student-centered philosophy.
  • Strong written and verbal communication skills.
  • High technical aptitude.

Preferred Requirements:

  • Master’s Degree in Higher Education, Student Affairs, Marketing & Communications or closely related field.
  • Colleague SIS experience.
  • Demonstrated ability to work independently, in ambiguity to create and implement new initiatives.

Working Conditions:

· This position requires a hybrid flexible work schedule that includes some early evening and weekend hours during times of system implementation/upgrades and/or problem resolution
