We are seeking a detail-oriented and proactive Administrative Assistant to join our Cleveland office. This is a hybrid role that requires excellent organizational skills and the ability to multitask effectively.

Key Responsibilities

Tax Return Processing

  • Process and finalize delivery of tax returns electronically, including:
    • Preparing transmittal letters and instruction sheets.
    • Applying electronic signatures and ensuring all required documentation is complete.
    • Reviewing all materials for accuracy and compliance before returning them to the accounting staff.
  • Scan and organize client documents per firm protocols, ensuring data integrity and proper filing in digital systems.
  • Manage and update tax workflow software, including logging, tracking, and generating workflow reports.
  • Assist with the preparation and filing of client extensions, ensuring deadlines are met.
  • Draft and format client and government correspondence.
  • Adhere to established turnaround times and processing procedures.

General Support

  • Assist with special projects, including scanning, file organization, and digital archiving.
  • Provide administrative support across departments, including data entry and virtual coordination.
  • Maintain open communication with team members to ensure smooth workflow and task completion.

Miscellaneous Duties

  • Prepare and send electronic packages through digital platforms (e.g., FedEx, courier services).
  • Support office phone operations, including virtual call transfers and client assistance.
  • Troubleshoot and operate office equipment in a virtual or hybrid setting.
  • Assist administrative team members with projects and provide cross-departmental support as needed.

Qualifications

Experience: Minimum of 2 years in an administrative or processing role

Technical Skills

  • Proficiency with Microsoft Office Suite (Word, Excel).
  • Advanced skills in Adobe (PDF editing, electronic signatures, bookmarking).
  • Experience working with document management systems and electronic workflows.

Soft Skills

  • Team-oriented mindset with a proactive, “can-do” attitude.
  • Strong organizational and time-management skills.
  • Excellent communication abilities, both written and verbal.
