As an Assistant Program Manager, you will be working with the Program Manager, Director of Security, Contractor Program Security Officer, security team members, and Parallax clients. When working with your team, you will be supporting the planning, tracking, analyzing, and reporting across the program life cycle in order to meet scope, schedule, and budgets. This position will prepare analyze, track, and monitor expenditures, create program review documents, track awarded ceilings and funding, create deliverables, and participate in the proposal process to include pricing and vendor quote management.

In this position, you will not only be assisting with program planning, but also working closely with the members of Finance, Contracts, Procurement and Accounts Receivable departments as well as within the Program Team to ensure program budgetary success. The Assistant Program Manager prepares written and verbal reports to the Program Manager as well as supporting departments. This role will provide high customer service and support innovation and inclusive behaviors.

In addition to that, a typical day-in-the-life of a Parallax Assistant Program Manager includes:

  • Building cost projections based on previous assumptions vs. new information
  • Comparing bid to invoiced to projected costs
  • Ensuring that billing is done properly
  • Building funding vs. commitments comparisons
  • Developing pricing scenarios for new business
  • Ensuring vendor quotes are up-to-date and complete
  • Processing quotes into purchase orders
  • Comparing vendor invoices to purchase order lines
  • Verifying work is complete and invoicing is correct
  • Pulling together budgets based on bid information
  • Developing tracking mechanisms to determine overages/shortages and root causes
  • Projecting multiple indirect rate impacts and mitigation plans
  • Developing tools to communicate status to the team (spreadsheets, KPI boards, emails, etc.)
  • Attending status meetings to increase the knowledge base for current and future data analysis, problem-solving, decision analysis, etc.
  • Documenting stakeholder questions, clarifications, approvals, etc.
  • Identifying inefficient processes, developing solutions, implementing changes, documenting improvement, communicating results

Ideally, you are looking for your next long-term challenge and have these skills:

  • Bachelor’s degree in business, accounting, finance or a related field with two (2) years of prior experience in a management, project management or analytical role – OR – six (6) years of equivalent finance, project management or analytical role.
  • Highly skilled in Microsoft Excel; working knowledge of Microsoft Project or other similar commercial products.
  • Hands-on experience with an Enterprise Resource Planning (ERP) system, or other equivalent planning and financial systems.
  • Strong organizational skills needed to handle multiple tasks/projects and to work independently to deliver results.
  • Effective written and oral communication skills that are required to work collaboratively with all levels of staff and managers.
  • Ability to analyze problems for root cause and implement corrective action.
    • Skilled in defining desired outcomes and measuring results.
    • Ability to obtain a TS/SCI Clearance.

    Furthermore, do you have, or want to develop these skills?

    • Project Management Certification
    • Two years plus experience supporting project teams in a government contracting environment
    • MBA or similar advanced degree
    • Proven experience with Grant or Proposal writing.
