Position Summary
The Project Coordinator will play a vital role in supporting the Academic Partnership Engagement Experiment (APEX), a program designed to accelerate technology transition by building connections between the Department of the Air Force (DAF), academia, and industry.
Operating within a fast-paced, collaborative environment, APEX identifies emerging technologies, fosters partnerships, and equips innovators to meet national defense challenges. The Project Coordinator will support these efforts by coordinating program activities, assisting with partner and customer engagements, and ensuring the successful execution of deliverables.
As a core member of the Strategic and Tech-Based Partnerships campaign, this role offers opportunities to contribute beyond APEX, while providing a clear pathway for growth into a Project Manager position. The Project Coordinator will bring strong organizational skills, adaptability, and a collaborative mindset to advance APEX’s mission of bridging innovation and national security.
Essential Duties and Responsibilities
The responsibilities of this role include, but are not limited to:

Drive Impact (70%) – Program Execution & Planning

  • Support day-to-day execution of the APEX program, tracking milestones, deadlines, and deliverables to ensure mission success.
  • Assist with preparing reports, presentations, and briefing materials for internal and external stakeholders.
  • Coordinate with internal teams to collect and organize data for program reporting and event execution.
  • Contribute to process improvements that enhance program operations and stakeholder engagement.
  • Provide logistical and planning support for events, workshops, and meetings.
  • Maintain compliance with reporting requirements, ensuring accuracy and accountability.
  • Support internal coordination by scheduling, organizing, and tracking meetings, deadlines, and deliverables.
  • Uphold the highest ethical standards in all program activities.
Collaborate Everywhere (30%) – Stakeholder Engagement
  • Assist in coordinating meetings and engagements with academia, industry, and government stakeholders.
  • Help document outcomes of stakeholder discussions and ensure follow-up actions are tracked.
  • Support outreach efforts to identify and connect innovative partners with defense needs.
  • Build working knowledge of the defense innovation ecosystem to better support APEX engagements.
  • Represent APEX in internal discussions and customer-facing settings as needed, ensuring professionalism and alignment with program goals.
Minimum Qualifications (Knowledge, Skills, and Abilities)
  • Bachelor’s degree (BA/BS) in business, communications, public policy, engineering, or related field required; Master’s degree a plus but not required.
  • 0–2 years of professional experience, with exposure to project coordination, program support, or related work (internships, research, or academic project experience acceptable).
  • Strong organizational skills with the ability to manage multiple priorities and meet deadlines.
  • Clear written and verbal communication skills, with ability to prepare basic reports, presentations, and meeting notes.
  • Comfort working in a collaborative, fast-paced environment with shifting priorities.
  • Proficiency with Microsoft Office Suite (Word, Excel, PowerPoint); familiarity with project management tools (Asana, Smartsheet, Trello, etc.) a plus.
  • Demonstrated interest in defense innovation, technology transition, or national security a plus.
  • U.S. citizenship required; eligibility for a security clearance preferred.
Preferred Qualifications (Knowledge, Skills, and Abilities)
  • Exposure to project management in academic, industry, or government settings, including internships or research projects.
  • Familiarity with program documentation, reporting, and compliance processes.
  • Basic understanding of technology commercialization, innovation ecosystems, or defense/dual-use technology.
  • Experience coordinating meetings or events involving multiple stakeholders.
  • Demonstrated ability to collaborate with cross-functional teams and manage competing priorities.
  • Comfort supporting government or defense-related initiatives; familiarity with DoD programs (e.g., AFWERX, DIU, NSIN) a plus.
  • Strong organizational, communication, and problem-solving skills.
  • Interest in gaining experience with DoD processes and technology transition initiatives.
  • U.S. citizenship required; ability to obtain security clearance preferred.

Pay Range: $65,000 - $95,000 per year
