The Role
The Front Office Coordinator oversees the reception and hospitality experience at Veeva’s Dublin, OH office. This individual must be detail-oriented, demonstrate strong customer service skills, possess excellent time management abilities, and adapt well to a dynamic work environment. The role is client-facing and collaborates closely with the Workplace Services Director and Office Manager, supporting the daily operations of the office.
This is a part-time position, requiring approximately 20-25 hours per week.

What You'll Do

  • Provides the first impression to clients, partners, potential employees, and Veevans. Act as an ambassador for the company
  • Demonstrate excellent customer service to guests and Veeva employees concerning office-related requests
  • Maintain security by following procedures and controlling access (issuing access badges and visitor registration)
  • Assist with facility requests, building maintenance, and vendor coordination to support the Office Manager
  • Maintain reception and common area appearances (restocking items as needed, moving and occasionally washing dishware)
  • Maintain and stock inventory of micro kitchen and office supplies
  • Maintain cleanliness of the kitchen, as needed
  • Manage incoming and outgoing mail, shipping (FedEx), and deliveries
  • Provide administrative and project support to local teams as needed
  • Coordinate on-site special events, customer meetings, team building, networking, and social events
  • Coordinate Veeva’s participation in community events with city, state, and volunteer organizations


  • Must be able to work in the office Mon - Thur 8:00am to 1:00pm with some flexibility to assist with in-office events as needed
  • Prior customer service or front office experience in a professional business office
  • Excellent customer service and interpersonal skills
  • Strong verbal communication and organization skills
  • Self-starter with a positive, can-do attitude
  • Google Suite, e-mail, and calendar management experience
  • Intermediate skills Google Applications (Sheets, Slides, Docs), Canva, etc.
  • Adapts quickly to new technology
  • Able to juggle multiple tasks with efficiency and accuracy
  • Ability to adjust to changing environments
  • Ability to lift up to 25 lbs.

  • Base pay: $20 - $30 per hour
  • The salary range listed here has been provided to comply with local regulations and represents a potential base salary range for this role. Please note that actual salaries may vary within the range above or below, depending on experience and location. We look at compensation for each individual and base our offer on your unique qualifications, experience, and expected contributions. This position may also be eligible for other types of compensation in addition to base salary, such as variable bonus and/or stock bonus.
